We are looking for an Operations Manager to join us and help support the Tomorrow team.
This role is very varied, with tasks covering operations and finance as well as some HR administration and general studio management. We need someone who has excellent business operation skills and has the experience and working knowledge of finance admin within multiple business models. We’re looking for someone who can bring a ton of experience and add value to our existing infrastructure, have top level tech skills, and if you have had experience working in a recruitment agency, or similar environment, this would be bonus!
This is a maternity cover, starting ASAP for min 9months. It will be approx 4 days a week. We offer flexible hybrid working, lovely benefit package and lovely people to work with.
Job Overview: We are seeking a highly organised and detail-oriented Finance and Operations Coordinator to manage key finance tasks and support day-to-day operations within the business. This role will involve handling finance-related processes, including payroll, margin reports, supplier payments, and commissions, as well as supporting the smooth running of internal systems (CRM platforms). The ideal candidate will have experience in finance administration and a keen eye for accuracy.
Key Responsibilities:
Finance Tasks:
o Onboarding new candidates in our network
o Review and update weekly margin report
o Finalising weekly contractor figures
o Team Expenses and seamless integration with finance platforms.
o Collaborate with finance team to verify payroll figures; check accuracy and ensure timely upload for approval.
o Download and archive monthly bank statements.
o Review and verify monthly commission reports
o Review and approve supplier payment runs.
o Review Monthly management reports with senior management team.
System Tasks:
o Managing automations in Bullhorn and InTime assisted with finance team.
o Maintain CRM systems and ensuring they are all working successfully.
o Implement and new processes with systems.
General Operations and Admin:
o Managing Marketing@ Inbox
o Support the UK and US operations.
o Ensure the fridge is stocked with drinks for Friday socials
o Support and manage Contracts with Clients and Candidates
o Onboarding of New starters with Team Leaders.
o Manage all relationships with FCA-accredited umbrella companies
o Manage insurance renewals and supplier contract renewals.
o Manage all team incentives, Office lunches, team events.
o Ensure basic office stationery is stocked.
o Handle ad-hoc tasks as needed.
Skills & Experience Required:
– Proven experience in a finance or operations support role.
– Strong organizational skills with a high attention to detail.
– Experience with finance software, such as Xero
– Strong communication skills, particularly for managing cross-functional communication (with payroll, finance teams, etc.).
– Ability to manage multiple tasks and deadlines in a fast-paced environment.
– Proficient in MS Office and Google Suite.
– Knowledge of payroll processes, commission reporting, and supplier payments is a plus.
Desirable:
– Experience with automation tools and CRM systems (Bullhorn, InTime, Kyloe).
– Familiarity with the management of freelancer and contractor payments.
– Experience working with internal teams to ensure smooth workflow across departments.
